ServEase provides hospital management software to healthcare providers in India. This policy explains what information we handle, why, and how you can have it removed.

ServEase acts on behalf of the hospital. When you are a patient, the hospital treating you decides what information is collected and why; ServEase processes it under that hospital's instructions. Requests about your records are usually best directed to the hospital, though we will always help — see Deleting your data.

Information we handle

Depending on how you interact with a hospital using ServEase, this may include:

Why we handle it

Only to provide the service the hospital has asked for: registering you, booking and confirming appointments, keeping your records together, preparing insurance claims, and issuing and settling bills. We do not sell personal information, and we do not use it for advertising or profiling.

Who else sees it

Where it is stored

Information is stored on Microsoft Azure infrastructure in the Central India region. This is deliberate: health information about people in India stays in India.

How long we keep it

For as long as the hospital needs it to provide care and to meet its own record-keeping obligations, which for medical records in India are typically several years. When a hospital stops using ServEase, its data is deleted or returned within 90 days.

Security

Access is restricted to authorised hospital staff, all traffic is encrypted in transit, and each hospital's data is separated from every other hospital's. We describe our security posture honestly rather than expansively: no system is perfectly secure, and we continue to strengthen ours.

Your rights

Under India's Digital Personal Data Protection Act, 2023, you may ask to access your information, have it corrected, have it erased, or withdraw consent you previously gave. Contact the hospital, or write to us at hello@serveasehms.com and we will help.

Deleting your data

To have your information removed, email hello@serveasehms.com from the address or with the WhatsApp number you used, stating which hospital you visited. We will confirm within 7 days and complete the deletion within 30 days.

We may need to keep certain records where a law requires it — for example, records tied to a submitted insurance claim or a tax invoice. Where that applies we will tell you exactly what is being retained and why.

Children

Where a patient is a child, information is provided and managed by a parent or guardian through the hospital.

Changes

If this policy changes materially we will update the date above and notify the hospitals using ServEase.
